Welcome to Wama Festival Festival

Participant Agreement and Privacy Policy

Washington State Martial Arts Festival
Presented by Transcend United (501(c)(3) Nonprofit Organization)

By submitting this registration form, the individual, school, organization, business, vendor, instructor, performer, parent, or legal guardian (“Participant”) agrees to the following terms and conditions for participation in the Washington State Martial Arts Festival (“Event”), organized by Transcend United and its affiliated partners, volunteers, sponsors, venue staff, and organizers (“Organizers”).


1. MEDIA RELEASE & PROMOTIONAL USE


Participant grants the Organizers the irrevocable right and permission to photograph, record, livestream, and otherwise capture Participant’s name, likeness, image, voice, performances, booth displays, demonstrations, and activities during the Event.


Participant agrees that these photos, videos, and recordings may be used by the Organizers for promotional, educational, archival, social media, website, press, fundraising, marketing, or future event purposes without compensation or additional approval.


This includes, but is not limited to:

- Social media posts

- Printed flyers and posters

- News/media coverage

- Promotional videos

- Website galleries

- Sponsor presentations

- Future festival advertisements


Participant waives any right to inspect or approve the final use of such materials.


2. ASSUMPTION OF RISK


Participant understands that martial arts demonstrations, performances, training activities, sparring, acrobatics, weapon demonstrations, cultural performances, physical interaction, crowd participation, and related activities involve inherent risks of injury, including but not limited to:

- Falls

- Sprains

- Cuts

- Bruises

- Concussions

- Muscle injuries

- Serious bodily injury


Participant voluntarily assumes all risks associated with participation in the Event.


3. RELEASE OF LIABILITY


Participant agrees to release, waive, discharge, and hold harmless the Organizers, venue owners, sponsors, volunteers, staff, affiliated schools, and event partners from any and all liability, claims, demands, damages, losses, injuries, or causes of action arising out of or related to participation in the Event.


This includes:

- Performance-related injuries

- Injuries occurring during demonstrations or practice

- Injuries resulting from instruction or interaction between schools, instructors, students, vendors, or attendees

- Property damage or theft

- Accidents involving equipment or props

- Audience participation incidents

- Minor child participation incidents


Participant acknowledges that each school, instructor, vendor, and organization is solely responsible for the safety, supervision, instruction, and conduct of their own members, students, staff, guests, and participants.


4. CHILDREN & MINOR PARTICIPANTS


Parents, guardians, instructors, and schools are fully responsible for supervising minors attending or participating in the Event.


Any hands-on instruction, trial classes, demonstrations, games, or interactive activities involving children are conducted independently by participating schools or vendors and are not supervised by the Organizers unless explicitly stated otherwise.


5. WEAPONS & SAFETY POLICY


All martial arts weapons, training tools, props, and demonstration equipment must be handled safely and responsibly at all times.


Live blades, sharpened weapons, firearms, explosive materials, hazardous materials, or unsafe equipment are prohibited unless specifically pre-approved in writing by the Organizers.


The Organizers reserve the right to stop or remove any performance, booth activity, or demonstration deemed unsafe, inappropriate, disruptive, discriminatory, or inconsistent with the family-friendly nature of the Event.


6. VENDOR & BOOTH RESPONSIBILITY


Vendors and exhibitors are responsible for:

- Their own setup and cleanup

- Product safety

- Sales tax compliance

- Insurance (if applicable)

- Booth staffing

- Electrical/equipment safety

- Crowd interaction around their booth


The Organizers are not responsible for lost, stolen, or damaged merchandise, equipment, displays, or personal belongings.


7. EVENT CHANGES & CANCELLATION


The Organizers reserve the right to:

- Modify schedules

- Change performance times

- Adjust booth locations

- Limit activities

- Cancel portions of the Event

- Remove participants for safety or conduct reasons


without prior notice if necessary due to safety, venue requirements, weather, emergency situations, or operational concerns.


8. CODE OF CONDUCT


All participants are expected to maintain respectful, family-friendly, and professional behavior throughout the Event.


Harassment, discrimination, aggressive behavior, unsafe conduct, intoxication, or disruption of the Event may result in removal without refund or future participation eligibility.


9. AGREEMENT


By submitting this form, Participant acknowledges that they have read, understood, and voluntarily agreed to all terms listed above.


Participant further confirms that they have the authority to sign on behalf of their school, organization, business, team, students, or minor children participating in the Event.
